COVID-19 Guidance

The CDC has released the following COVID-19 guidance.

What if I have been exposed to someone with COVID-19?

  • Follow CDC guidance about being exposed to COVID-19. If exposed to someone with COVID-19, wear a high-quality mask for 10 days and get tested on day 5. Start wearing a mask as soon as you find out that you were exposed. If you have tested positive or are showing symptoms of COVID-19, follow isolation guidance immediately. Employees may continue working when not exhibiting symptoms and while following mask advisement until results are received.

  • If tested positive or are showing symptoms of COVID-19, if the employee is able to perform their job functions from home, at the university’s approval, the employee may be authorized to work from home for the period of their absence. Consult your health care provider before ending isolation. Discuss with your healthcare provider whether your illness was a moderate or severe illness.

      • If the employee is able to perform their job functions from home, at the university’s approval, the employee may be authorized to work from home for the period of their absence.

  • Notify your supervisor/manager and human resources of your circumstances. Discuss the potential for work from home with your supervisor/manager. If the employee cannot perform their job functions from home, the employee may use their sick leave, other forms of applicable paid leave (annual, personal, compensatory leave), or request leave without pay following the exhaustion of other forms of available paid leave. Enter leave used accordingly in ESS/Fiori.

  • Notify Human Resources of the duration of your absence and/or work from home period.  

  • Provide a doctor’s note to the Office of Human Resources for absences of 3 days or more.

What if I am feeling ill and suspect that I may have COVID-19?

  • Follow CDC guidance and contact your health care provider for further advisement if you are sick and suspect that you have COVID-19. Isolate until you receive COVID-19 test results. If negative, end isolation. If positive, follow the CDC’s full isolation guidance.

      • If the employee is able to perform their job functions from home, at the university’s approval, the employee may be authorized to work from home for the period of their absence.

  • Notify your supervisor/manager and Human Resources of your circumstances. Discuss the potential for work from home with your supervisor/manager. If the employee cannot perform their job functions from home, the employee may use their sick leave, other forms of applicable paid leave (annual, personal, compensatory leave), or request leave without pay following the exhaustion of other forms of available paid leave. Enter leave used accordingly in ESS/Fiori.

  • Notify Human Resources of the duration of your absence and/or work from home period.  

  • Provide a doctor’s note to the Office of Human Resources for absences of 3 days or more.

What if I test positive for COVID-19?

  • Follow the CDC and your health care provider’s guidance. If you test positive for COVID-19, follow the CDC’s full isolation guidance.

  • Stay home/isolate from others for at least 5 days. If after 5 days you are fever free for 24 hours, without the use of medication and symptoms are improving or you never had symptoms, end isolation after day 5. Consult your health care provider before ending isolation. Discuss with your healthcare provider whether your illness was a moderate or severe illness. Provide a doctor’s note to the Office of Human Resources for absences of 3 days or more.

      • If the employee is able to perform their job functions from home, at the university’s approval, the employee may be authorized to work from home for the period of their absence.

  • Notify your supervisor/manager and Human Resources of your circumstances. Discuss the potential for work from home with your supervisor/manager. If the employee cannot perform their job functions from home, the employee may use their sick leave, other forms of applicable paid leave (annual, personal, compensatory leave), or request leave without pay following the exhaustion of other forms of available paid leave. Enter leave accordingly in ESS/Fiori.

  • Notify Human Resources of the duration of your absence and/or work from home period.  

  • Provide a doctor’s note to the Office of Human Resources for absences of 3 days or more.

  • Wear a high-quality mask through day 10 OR refer to the CDC’s guidance on antigen testing (Removing your Mask section).

  • After you have ended isolation, if your COVID-19 symptoms recur or worsen, restart your isolation at day 0. Talk to a healthcare provider if you have questions about your symptoms or when to end isolation.

For Supervisors:

If an employee notifies his/her supervisor and/or Human Resources that they have to care for an individual that has been exposed:

  • Notify the employee that they may use applicable sick family leave, annual, personal, or compensatory leave or request leave without pay following the exhaustion of other available paid leave.

  • Employees should notify their supervisor/manager and Human Resources of their circumstances. Supervisor/Manager should remind their employee to enter leave accordingly in ESS/Fiori.

  • Remind your employee that they need to provide a doctor’s note to the Office of Human Resources for absences of 3 days or more.

 

Faculty

  • Effective on March 1, 2021, and continuing through December 31, 2021, all Association of Pennsylvania State College and University Faculties (APSCUF) represented faculty in active pay status who are able to obtain a COVID-19 vaccine inoculation, and who are otherwise unable to receive it at their worksite, may use one-half day of administrative leave during their regularly scheduled assignment to be vaccinated off-site. Faculty who receive a two-dose (2) regimen may use no more than a full day of administrative leave for a two-dose regimen. Each one-half day allotment is inclusive of reasonable travel time.

  • Administrative leave requests for this purpose are subject to supervisory approval based on management's need to maintain efficient operations, and faculty must show proof of vaccination to support the use of such leave. Proof of vaccination should be submitted to human-resources@iup.edu.

  • In the event the vaccine is available for on-site administration, faculty are eligible for the referenced administrative leave only if they were not working on-site on the date(s) of administration. All reasonable attempts should be made to receive the vaccination on-site when available.

  • Faculty who used their own leave to be vaccinated at an off-site location during their regularly scheduled assignment prior to March 1, 2021, may request to change the absence to administrative leave (up to one-half day for each absence, inclusive of reasonable travel time) provided they provide proof of vaccination. Proof of vaccination should be submitted to human-resources@iup.edu.

  • Absences for this purpose must be submitted through Employee Self-Service (ESS) using the absence code "Administrative Leave" and entering "COVID-19 Vaccine" in the Additional Remarks Section.

Coaches

  • Effective on March 1, 2021, and continuing through December 31, 2021, all Association of Pennsylvania State College and University Faculties (APSCUF) represented coaches in active pay status who are able to obtain a COVID-19 vaccine inoculation, and who are otherwise unable to receive it at their worksite, may use up to three (3) hours of administrative leave during their regularly scheduled work shift to be vaccinated off-site. Each three-hour (3) allotment is inclusive of reasonable travel time.

  • Employees in an active pay status who are able to obtain a COVID-19 vaccine inoculation, and who are otherwise unable to receive it at their worksite, may use up to three (3) hours of administrative leave during their regularly scheduled work hours to be vaccinated off-site. Employees who receive a two-dose (2) regimen may use up to three (3) hours of administrative leave for each absence, but no more than a total of six (6) hours. Each three-hour (3) allotment is inclusive of reasonable travel time.

  • Administrative leave requests for this purpose are subject to supervisory approval based on management's need to maintain efficient operations, and employees must show proof of vaccination to support the use of such leave. Proof of vaccination should be submitted to human-resources@iup.edu.
