Zoom AI Features Available at IUP

IUP users now have access to ZoomMate, Zoom’s conversational AI assistant.

ZoomMate can be accessed directly within Zoom Workplace and through Zoom’s web interface.

Users can interact with ZoomMate by asking questions, exploring available information within Zoom, and experimenting with AI-powered assistance directly inside the Zoom environment.

ZoomMate offers an easy way for those new to AI tools to begin developing familiarity with generative AI capabilities in a familiar platform.

Meeting Summary with AI allows meeting hosts to generate an AI-created summary after a meeting concludes.

The summary may help identify:

• Key discussion topics
• Important decisions
• Follow-up items
• General meeting outcomes

At IUP:

• Meeting summaries do not automatically start when a meeting begins.
• Meeting hosts decide when to use the feature.
• Summaries are automatically shared only with the meeting host.
• Hosts may review the content before choosing whether to distribute it to others.
• Email notification is provided when summaries are shared.

This approach helps ensure that meeting owners remain responsible for reviewing AI-generated output before it is distributed.

Participants may request that a meeting host enable Zoom AI features during a meeting.

The meeting host remains in control and can decide whether AI capabilities are appropriate for the discussion.

This setting encourages collaboration while ensuring that the host maintains responsibility for the meeting environment.

To encourage responsible use, Zoom will remind meeting hosts that AI features are available when they begin a meeting. A user can turn this off by selecting the checkbox beside “Don’t remind me again” at the reminder window. 

The reminder does not automatically enable AI.

Instead, it serves as a prompt for the host to decide whether AI assistance would be valuable for that specific meeting.

The host can select Start Zoom AI at the reminder window (or select Close if they do not want Zoom AI for that particular meeting).

For meetings that are recorded to the Zoom cloud, Smart Recording can automatically create recording highlights.

Highlights help users quickly locate important moments within a recording without reviewing the entire recording from beginning to end.

At this time, IUP has enabled Recording Highlights while leaving other Smart Recording capabilities disabled. i.e, Smart Chapters and Next Steps are turned OFF; however, each user has the ability to turn these on under their own Zoom settings. 

Zoom My Notes provides AI-assisted note-taking capabilities.

Users can:

• Transcribe meetings
• Create notes from meetings
• Use Zoom AI to assist with note generation

By combining transcription and AI-assisted note creation, users can spend less time manually documenting discussions and more time participating in the conversation itself.

Automatic generation of summaries when notes are completed is currently disabled, allowing users to determine when AI-generated content should be created.

AI-generated content should always be reviewed before being shared or relied upon.

Meeting summaries, notes, and other AI-generated output may contain inaccuracies, omissions, or items that require clarification.

Users remain responsible for:

• Reviewing generated content
• Confirming decisions and action items
• Correcting inaccuracies
• Sharing information appropriately

AI should be viewed as a productivity assistant rather than an authoritative source.

These Zoom AI capabilities support IUP's ongoing efforts to increase AI literacy, encourage responsible experimentation, and help members of the university community gain practical experience with approved AI tools.

By starting with focused, low-risk capabilities that improve meeting effectiveness, IUP aims to help users explore AI in ways that deliver meaningful value while maintaining appropriate oversight and governance.
