Information for Approvers in a Softdocs Workflow
- If you are an approver in a Softdocs Workflow, you will receive an email notification each time something moves into your Softdocs Inbox for you to review. You will be able to click the link in the email to be taken directly to the form for your review and action. The email messages will come from noreply-softdocs@iup.edu—these are not phishing or spam messages.
Example Email
- Note: If no form is pre-loaded, click on the Inbox inside Softdocs to see your pending requests. If you use an OLD email link to re-access a form that you have processed, no specific form will load. In this case, you will need to click on the Softdocs Activity folder and search by student name or P-number to find it.
- When you are taken into the form, you will have the following toolbar at the bottom of the screen. You can take any of these actions on the submission.
Toolbar

- You can use the Approve to move the request along or Decline to stop the request.
- The Refer button allows you to send the form to another person for additional review and approval by entering their email. The form will leave your inbox, and the other person will get an email notification from Softdocs. Once they approve the form, it will return to your Softdocs Inbox for your approval.
- The Return button takes you out of the form without making a decision.
- The History button will show that past chain of approval and any previous comments. You can add comments in the History review. If you see a red dot on the History button, there have been comments added in the approval process.
- Once you have Approved, Declined, or Referred a form, it will be removed from your Softdocs Inbox and moved to the Softdocs Activity section.
- If you click on the Softdocs Activity bar (located under the Softdocs Inbox bar), it will load all forms that you have reviewed. You can use the Search bar to find a specific form.
If you encounter errors or have problems with form content, please file an i-help ticket so it can be directed to the appropriate office to address.
