Summer Break Employment for Students

  • The first day of employment for Summer Break will be May 7, 2022.

    • The last day of employment for Summer Break is August 12, 2022.

    • Please ensure hours up to and including May 6, 2022, have been entered, signed, and approved by Monday, May 9, 2022, at noon for timely payment.

  • Students who will work in your department in summer 2022 must complete the Summer 2022 Federal Work Study (FWS) Application through the Office of Financial Aid. This process is manual and will take several days to accomplish. Summer employment will not be processed until the student’s Summer FWS eligibility has been determined by the Office of Financial Aid.

  • Students who plan to return to your department in fall 2022, but are not working in summer 2022, supervisors should complete the Student Employment Profile Sheet and email it to human-resources@iup.edu with Fall 2022 in the subject line. Supervisors must sign.

  • Students newly hired to work in your department during summer 2022:

    • Supervisors must hire the student through Hire a Hawk

    • Supervisors will be sent a Work Authorization email once the student completes all onboarding tasks.

    • Students should complete the 2022 Summer Federal Work Study application, available through the Office of Financial Aid. This process is manual and will take several days to accomplish. Summer employment will not be processed until the student’s Summer FWS eligibility has been determined by the Office of Financial Aid.

    • Supervisors should complete the Student Employment Profile Sheet and email it to human-resources@iup.edu with Summer 2022 in the subject line. Supervisors must sign.

  • Student workers will not be exempt from FICA taxes (Social Security/Medicare) for hours worked over summer break unless enrolled in at least one credit, beginning with the June 3, 2022, paycheck.

  • Students may work 40 hours per week if not enrolled in summer courses, or 25 hours per week if enrolled in summer courses.

Fall 2022 Employment for Students

  • The first day of employment for the fall 2022 semester is August 13, 2022.

    • Please ensure hours up to and including August 12, 2022, have been entered, signed, and approved by Monday, August 15, 2022, at noon.

  • Students who plan to return to your department in fall 2022, but are not working in summer 2022, supervisors should complete the Student Employment Profile Sheet via MyIUP > Campus Services > Jobs and Careers.

    • If you already emailed a .pdf profile sheet, you do not need to submit another one through iforms.

  • Students newly hired to work in your department during fall 2022:

    • Supervisors must hire the student through Hire a Hawk.

    • Supervisors will be sent a Work Authorization email once the student completes all onboarding tasks by the Office of Human Resources.

    • Students should complete the 2022–23 FAFSA application, available through the Office of Financial Aid. Fall employment will not be processed until the student's FWS eligibility has been determined by the Office of Financial Aid.

    • Supervisors should complete the Student Employment Profile Sheet via MyIUP > Campus Services > Jobs and Careers.

      • If you already emailed a .pdf profile sheet, you do not need to submit another one through iforms.
  • Exemption from FICA taxes (Social Security/Medicare) will begin with the 9/23/2022 paycheck.
  • Students may work up to 25 hours/week when enrolled in courses during the academic year.

    • International students may work up to 20 hours/week during the academic year.

All printed paychecks will be mailed to the address on record and will not be available for pickup at the Payroll Office located at G11 Sutton Hall.

If you are in need of a copy of your W-2, active employees should first check your Employee Self Service profile for the electronic version. Separated employees and those who have not yet elected an electronic W-2, please complete the W-2 Reissue Request form.

Spring 2021 Overload Payments for Faculty

Overload payments are scheduled to be included on the March 26, 2021, pay date. These will not include Independent Study payments, which are not paid until after the faculty member submits the students’ final grades.

New Email for Office of Payroll Services

The Office of Payroll Services will be discontinuing old email addresses and introducing one combined email address, payroll-services@iup.edu.
