Why would I use Personal Leave?

Personal leave can be requested and used for an unscheduled absence of a non-medical emergency nature.

Personal leave is to be used for absences due to reasons not covered by other leave options, such as sick/bereavement, civil, or military.

How is Personal Leave earned/accrued?

Regular full-time coaches earn two (2) personal leave days per service period. A service period is defined as a period of 47 weeks within a 12-month period.

  • One (1) personal day is earned in each first half of the service period.
  • Coaches must have 30 days of active service in each half of the service period to earn the personal leave days for that service period

Regular part-time coaches do not earn personal leave days.

How do I request and use Personal Leave?

Personal leave requests...

  • should be made in advance if possible.
  • can be made for time that is expected to be earned in the calendar year.
  1. Assistant coaches should notify the head coach, and head coaches should notify the athletic director via departmental procedures (i.e., phone call, email, or text)
  2. Submit your time off work via Employee Self Service (ESS) using the reason code, Personal Leave.
What happens if I don't use all my personal leave in the same calendar year?

Personal leave does not carry over from year to year.

Unused personal leave from the prior leave calendar year that is not used within the first seven pay periods of the new leave calendar year will be lost.

What happens to my unused personal leave if I end employment or retire?

Coaches who retire, resign, or otherwise separate from the university are entitled to receive a payout of unused personal leave. The payout is based on the number of days available on the last day of employment and the employee's salary at the time of separation.

Coaches who are permitted to anticipate and use unearned personal leave days who subsequently terminate employment shall reimburse the university for those days taken but not earned.
