The State System of Higher Education has an Employee Self Service portal allows employees and student employees to view and manage personnel information. Student employees use ESS to submit their hours for a pay period.
Among the things you can view/update:
The PASSHE/ESS portal is a separate system with it's own login information. The username has the format of email@example.com. The xxxxxxxx is replaced with your IUP username. The password for the system, while not your MyIUP password, can be reset utilizing the password reset option on the Personal Info page of MyIUP.
What is the suggested browser for using ESS?
The SAP Enterprise portal (i.e., ESS/MSS/eTime) is designed for support usage across all current internet browsers, including Microsoft Edge, Firefox, Chrome, and Internet Explorer 11. There should be no notable differences in the appearance of the “Tabs” at the top of the portal.
Internet Explorer 11 or Google Chrome are the recommended browsers for the most reliable experience with the ESS and MSS application. A complete announcement from the Pennsylvania State System can be read on the dashboard your next login to the Employee Self-Service.
Accessing Employee Self Service (ESS) Account
To access your ESS (Employee Self Service) account, you log in via the ESS Portal. For first-time use, you will need to set your ESS password via MyIUP. See the entry for changing your password via MyIUP.
To log in into ESS from ESS Portal page, select All Other PASSHE Users on the first screen. Continue on the next screen by entering your ESS user credentials (firstname.lastname@example.org where xxx is replaced with your IUP username).
The ESS password expires every 90 days. Password management is available via MyIUP and through the PASSHE/ESS self-service account management tools.

How do I change my password using MyIUP?
Log into MyIUP with your network username and password. At any point, if you have forgotten your password or if your PASSHE/ESS password is expired, you can use MyIUP to reset the password.
Also, you will need to use MyIUP to set your initially set your PASSHE/ESS password for the first time.
If there was a problem, review the error message carefully, and try again to reset the password. If you continue to have
problems, please contact the IT Support Center.
Enrolling PASSHE/ESS Self Service Portal (must be done to use the service)
Some options on the ESS Account Self-Service portal require you to know your ESS password. This includes the enrollment process.
To access the portal in PASSHE/ESS Self-Service, click on the Forgotten/Expired Password? link found on the main ESS login page. This link is under the Enter Portal button.
You will need to select Indiana University from the list of PASSHE system schools.
Remember, you will need to know your PASSHE/ESS password, as you will need it to log into the Account Self-Service portal. For the first time, use MyIUP to setup your first password.
To enroll in the service:
You will now be able to use the PASSHE/ESS Account Reset Tool if you have forgotten your password.
How do I change my password using PASSHE/ESS Self Service Portal (forgotten password)?
Provided you have configured your account to use the ESS Self-Service portal, you may use the Account Self-Service Portal to reset your password (you must know your self-set PIN you set during the enrollment process).
If you have not registered at the self-service portal, you must use MyIUP to reset your password.
How do I change my password using PASSHE/ESS Self Service Portal (expired password)?
If you know your current password and it is expired, you may use the Account Self-Service Portal to reset your password.
If you do not know your expired password, you can use the Reset Password via the PASSHE Self-Service if you are enrolled or you can use MyIUP to reset your password.
I have reset my ESS password in MyIUP and I tried to log in, but I’m still getting the error “User authentication failed.”
This can happen if you are saving passwords used on websites. This is not a recommended practice for security reasons. You will need to delete your saved passwords in your browser. Below are the steps to do this in Internet Explorer and Firefox:
In Internet Explorer, from the Tools menu, choose Internet Options. On the General tab under Browsing history, click Delete. Select Passwords on the Delete Browsing History Dialog box, then click Delete.
In Firefox, from the Tools menu, choose Clear Recent History. Select Everything under Time range to clear. Click Clear Now.
After clearing the saved passwords, reset your ESS password via MyIUP and try again. If you are still unable to login, it would be best to contact the IT Support Center at 724-357-4000.
If my personal information in ESS is incorrect, whom do I contact?
For errors in leave and master data (address, date of birth, etc.), please contact Payroll Services at 724-357-2510.
For errors in benefits information, please contact the Office of Human Resources at 724-357-2431.
Will I still be able to access ESS after I leave employment at IUP?
When your employment at IUP ends, you will no longer be able to access ESS. Your final pay statement will be mailed to you through the US Mail to your home address.
Can I update my data online?
Yes, you may update emergency contact information, primary phone number, withholding (W-4) information, and race/ethnicity codes. Additional update features will be added in the future.
I get a pop-up blocker message when I try to log off from ESS. What do I do?
You want to temporarily allow pop-ups, then click log off again, then click Yes to confirm.
Can I access ESS from an Apple computer?
Yes, some portal functionality has been proven in the Mac OS X environment if you use the Mozilla Firefox browser. However, certain parts may function in an unfamiliar way or not function at all.
