FAQ About Artificial Intelligence (AI) Language in IT and Data Related Policies

IUP’s approach is to treat AI as a tool, not a separate activity. Existing policies already govern acceptable behavior, data protection, and academic integrity. The AI language added to these policies clarifies that the same rules apply when AI tools are used. Creating a standalone AI policy would duplicate existing requirements and create unnecessary confusion.

When using AI tools, the following policies continue to apply: 

• Acceptable Use Policy 
• Information Protection Policy 
• Data Classification Policy 
• Academic Integrity Policy (for teaching, learning, and assessment)

AI use does not replace or override policy obligations—it is explicitly covered by them. 

These expectations apply to all members of the university community, including: 

• Faculty 
• Staff 
• Students 
• Contractors and third parties with access to IUP systems or data 

The specific policy implications may differ by role (e.g., academic vs. administrative use). 

Yes—AI tools may be used as long as their use complies with the Acceptable Use Policy. This includes requirements related to lawful use, ethical behavior, respect for others, and proper stewardship of university resources. Inappropriate, excessive, or risky use of AI remains a violation of policy.

AI tools may assist with work activities (e.g., drafting, summarizing, brainstorming), but they do not replace professional judgment. Employees remain responsible for the accuracy, appropriateness, and compliance of all work products, regardless of AI involvement.

No. AI-generated content must always be reviewed, validated, and corrected as necessary. Users are accountable for final decisions, communications, and records—even when AI assistance is used.

That depends on the data classification and the type of AI tool being used. Some AI platforms do not protect or retain data appropriately. Users must ensure that sensitive or restricted data is never disclosed to unapproved or unsecured tools.

No. Data classification does not change simply because AI is involved. University data retains its original classification (e.g., Public, Private, Restricted), and users must handle it accordingly—before, during, and after AI use.

  • IUP-licensed or approved AI tools, which provide enterprise-level data protections
  • Public or free AI tools, which may log, reuse, or expose data
• Users must understand the risks associated with each type of tool before use

Restricted or sensitive data may only be used with AI tools that explicitly meet institutional security, privacy, and compliance requirements (see above). In many cases, such data must not be entered into public or consumer AI platforms under any circumstances.

The individual using the AI tool remains responsible for proper data handling. Misuse—intentional or accidental—may result in policy violations, corrective action, or other consequences consistent with existing university procedures.

The policy states that AI-generated work is not reflective of a student’s own understanding and effort and is therefore not acceptable, unless explicitly authorized by the instructor or administrator.

No. AI use may be permitted at the discretion of the instructor. Faculty may define when, how, and whether AI tools may be used, typically through syllabus statements, assignment instructions, or program-level guidance.

If AI use is allowed, instructors may require students to disclose how AI tools were used. Expectations for disclosure should be clearly communicated by the instructor or academic unit.

Operational guidance, examples, and best practices will be provided through supplemental materials, such as FAQ, training sessions, and academic resources—rather than embedded deeply into policy text.
