Paid Sick, Family Care, and Bereavement Leave for Faculty Members

  • Sick leave is to be used for absences from work when an employee becomes too ill to work or must be absent for valid sick-related reasons. Sick leave can be requested and approved for absences related to an employee’s own illness or injury as well as medical appointments, and may also be used for absences related to care for a family member and as bereavement leave for the death of a family member. 

    Earning Paid Sick Leave

    • Permanent full-time faculty members earn 7.5 days (56.25 hours) of paid sick leave per semester or 15 days per academic year. 3.75 hours are earned per week while in an active pay status.
    • Temporary full-time faculty members earn 7.5 days (56.25 hours) of paid sick leave per semester.
    • Temporary part-time faculty members earn 1 day of paid sick leave per semester.

    Using Paid Sick Leave

    • Requests to use paid sick leave must be made through Employee Self-Service (ESS).
    • Faculty members must have at least 30 calendar days of service before paid sick leave can be used.
    • Sick leave for full-time faculty members is charged on the basis of a five-day week, regardless of the faculty member’s work schedule in that week.
    • Full-time faculty members may use paid sick leave in full-day (7.5 hours) or half-day (3.75 hours) increments. Faculty members who are absent for a partial day are charged for half-day or 3.75 hours of sick leave.
    • For 9-month faculty member, paid sick leave is only charged for the 15 teaching weeks or 75 teaching days of the semester.
    • If a faculty member is absent for consecutive days when scheduled to teach and/or perform other assigned duties, all intervening days are charged as paid sick leave.
    • Faculty members who have exhausted all accumulated, paid leave may submit a request to the local APSCUF Office to use days from the Faculty Sick Leave Bank.
    • Faculty members who have earned a minimum of 315 days of sick leave are required to contribute one day of sick leave each year to the sick leave bank.
    • Faculty members are limited to using 90 days of paid sick leave per calendar year, regardless of whether the sick leave has been earned or borrowed from the Faculty Sick Leave Bank.
    • Faculty members may request and be approved to use sick leave that is expected to be earned in the current leave calendar year.

    Absences for the Employee’s Own Illness or Injury — Sick Leave

    • A doctor’s certificate is required for sick leave requests for three or more consecutive days. The doctor’s certificate must be provided to the faculty member’s chair or dean prior to the approving the leave request and then forwarded to the Office of Human Resources to file in the employee’s confidential medical file.
    • If the faculty member’s absence due to illness or injury is expected to last two or more weeks, the absences must be approved as FMLA leave.

    Absences for a Family Member’s Illness or Injury — Sick Family Leave

    • Up to five days of an employee’s sick leave per leave calendar year may be used for absences to care for a qualifying family member. If additional leave is needed beyond five days, the employee’s absences must be approved as FMLA leave.
    • For sick leave requests to care for an immediate family member, an immediate family member is defined as the following persons: husband, wife, same-sex domestic partner, child, or parent of the faculty member or child of the faculty member’s domestic partner.
    • When requesting this type of leave through ESS, the leave type “Sick Family” should be used. The leave type “Sick Family - FMLA” should only be requested after receiving approval from the Office of Human Resources for FMLA leave.

    Absences for the Death of a Family Member -— Sick Bereavement Leave

    • Up to three days may be taken as bereavement leave with no use of the faculty member’s paid leave for absences related to the death of an immediate family member. When requesting the initial three days of bereavement leave, the leave type “Sick Bereavement Faculty” should be used.
    • Faculty members may use up to two days of paid sick leave as bereavement leave in addition to the three days that are not charged. When requesting the additional two days of bereavement leave, the leave type “Sick Bereavement” should be used.
    • Immediate family member is defined as father, mother, brother, sister, son, daughter, husband, wife, domestic partner, parent-in-law, or any near relative who resides in the same household or any person with whom the faculty member makes his/her home.

    Carry-Over and Payment of Unused Paid Sick Leave

    • Unused sick leave may be carried over from one leave calendar year to the next.
    • A portion of unused sick leave is only payable upon an employee’s retirement from the university and only if certain age and service criteria are met. Employees who resign from employment or are otherwise separated are not eligible to receive a payout for unused sick leave.
