Employee Self Services ESS FAQ

  • Employee Self-Service provides employees with current payroll and benefits-related information. You can view current and past pay statements (from January 9, 2004, to the present), along with your leave usage and leave balances. You can also view dates of hire, contributions to your retirement plan, and insurance coverages for yourself and your dependents. Emergency contact information, primary contact number, withholding (W-4) information, and ethnicity code can also be updated using ESS.

    What is the suggested browser for using ESS?

    Google Chrome, Internet Explorer (Versions 10 or 11) and Firefox (Versions prior to 52.0.1)

    There is currently a reported issue with selecting the "Leave Type" in ESS Leave Request when using the Firefox browser (Version 52.0.1). The State System is currently working on correcting this issue. This issue is also displayed on the Employee Self-Service tab in the ESS portal.

    How do I access ESS?

    Refer to How to Access Employee Self-Service for information on obtaining your initial password, changing your password, and configuring your account.

    If you know your username and password, you can log in to ESS at the ESS Portal.

    How do I change my password?

    You can change your password in two ways:

    Option A: Use MyIUP and follow the steps at How to Reset Your Own State System Active Directory Password.

    Option B: You can change your password using the Account Self-Service Portal. To use this option, you previously needed to sign up.

    1. Go to the ESS Portal.
    2. Choose Account Self-Service Portal.
    3. Choose Indiana University.
    4. Choose Change Your Password.
    5. Enter your State System username and your current password.
    6. Click Log On.
    7. Follow the directions on the Account Self-Service: Change Password screen.

    What do I do if I forget my password?

    You have two options:

    Option A: (Recommended) Use MyIUP and follow the steps at How to Reset Your Own State System Active Directory Password.

    Option B: If you have configured your account, you may use the Account Self-Service Portal to reset your password(you must know your State System Pin for this option):

    1. Go to the ESS Portal..
    2. Choose Account Self-Service Portal.
    3. Choose Indiana University.
    4. Choose Reset Your Account.
    5. Enter your State System username and your PIN.
    6. Click Submit.
    7. Select Reset my password.
    8. Answer the validation questions, and click Submit.
    9. Enter the new password, confirm it, then click Reset Password.
    10. Click Sign Out.

    If you have not registered at the self-service portal, you must contact the IT Support Center at 724-357-4000.

    I have reset my ESS password in MyIUP and I tried to log in, but I'm still getting the error "User authentication failed."

    This can happen if you are saving passwords used on websites. This is not a recommended practice for security reasons. You will need to delete your saved passwords in your browser. Below are the steps to do this in Internet Explorer and Firefox:

    In Internet Explorer, from the Tools menu, choose Internet Options. On the General tab under Browsing history, click Delete. Select Passwords on the Delete Browsing History Dialog box, then click Delete.

    In Firefox, from the Tools menu, choose Clear Recent History. Select Everything under Time range to clear. Click Clear Now.

    After clearing the saved passwords, reset your ESS password via MyIUP and try again. If you are still unable to login, it would be best to contact the IT Support Center at 724-357-4000.

    If my personal information in ESS is incorrect, whom do I contact?

    For errors in leave and master data (address, date of birth, etc.), please contact Payroll Services at 724-357-2510.

    For errors in benefits information, please contact the Office of Human Resources at 724-357-2431.

    Will I still be able to access ESS after I leave employment at IUP?

    When your employment at IUP ends, you will no longer be able to access ESS. Your final pay statement will be mailed to you through the U.S. Mail to your home address.

    Can I update my data on line?

    Yes, you may update emergency contact information, primary phone number, withholding (W-4) information, and race/ethnicity codes. Additional update features will be added in the future.

    I get a pop-up blocker message when I try to log off from ESS. What do I do?

    You want to temporarily allow pop-ups, then click log off again, then click Yes to confirm.

    Can I access ESS from an Apple computer?

    Yes, some portal functionality has been proven in the Mac OS X environment if you use the Mozilla Firefox browser. However, certain parts may function in an unfamiliar way or not function at all.
