Summer Office Hours Guidelines: 2013

- Purpose: To establish a voluntary summer work schedule for employees.
- Scope: These procedures will provide guidelines and limitations for the scheduling of summer work hours which allow for different quitting times for pre-established work shifts during a workweek. These hours will consist of the following:
- 8:00 a.m.–4:30 p.m. (0800–1630) (one-hour lunch)
- 8:00 a.m.–4:00 p.m. (0800–1600) (half-hour lunch)
- Objective: To establish alternative work schedules during the summer months for employees while continuing to provide high-quality service to the students and the public.
- Guidelines: Agreement and implementation of summer work schedule arrangements must meet the following guidelines:
- The summer work schedule is voluntary and must be approved by the immediate supervisor.
- Summer core hours shall be from 8:00 a.m. to noon and 1:00 p.m. to 4:00 p.m. This is a voluntary schedule. Employees who elect to keep their current work schedule of 8:00 a.m. to 4:30 p.m. with a one- (1) hour lunch may do so.
- All employees who select the summer core hours are required to schedule a half-hour lunch period between noon and 1:00 p.m. If, however, an office area has implemented staggered lunch periods to accommodate customers over the traditional noon–1:00 p.m. lunch period, then the required time to schedule the half-hour lunch period may vary.
- The summer core hours will be effective Monday, May 20, 2013, through Friday, August 16, 2013.
- Operations must be staffed during the hours the department is open to the public or when services are normally provided.
- There is no increase in costs to maintain the operations.
- There is no increased need for additional staff.
- Operations can be efficiently maintained and current levels of service are not adversely affected
- Developing Recommendations:
- The university business hours for summer will be 8:00 a.m. to noon and 1:00 p.m. to 4:00 p.m. All business and departmental offices are to be staffed by university employees during these hours.
- Employees who work in the following areas will not have the opportunity to alter their work schedules:
- Pool Maintenance
- Dispatcher: automotive garage
- Police Department
- Cogeneration Plant
- TSC: Operations
- Appropriate supervisory coverage is required throughout the work shift (does not necessarily require direct, line supervisory coverage).
- The workweek will remain 37.5 hours.
- The regular work shift will remain at 7.5 consecutive hours. A required lunch period of a half hour is to be scheduled between noon and 1:00 p.m.
- All questions should be directed to Diane Donahue, Employee Relations director, in the Office of Human Resources.
