Summer Office Hours Guidelines: 2014

  1. Purpose: To establish a voluntary summer work schedule for employees.
  2. Scope: These procedures will provide guidelines and limitations for the scheduling of summer work hours which allow for different quitting times for pre-established work shifts during a workweek. These hours will consist of the following:
    1. 8:00 a.m.–4:30 p.m. (0800–1630) (one-hour lunch)
    2. 8:00 a.m.–4:00 p.m. (0800–1600) (half-hour lunch)
  3. Objective: To establish alternative work schedules during the summer months for employees while continuing to provide high-quality service to the students and the public.
  4. Guidelines: Agreement and implementation of summer work schedule arrangements must meet the following guidelines:
    1. The summer work schedule is voluntary and must be approved by the immediate supervisor.
    2. Summer core hours shall be from 8:00 a.m. to noon and 1:00 p.m. to 4:00 p.m. This is a voluntary schedule. Employees who elect to keep their current work schedule of 8:00 a.m. to 4:30 p.m. with a one- (1) hour lunch may do so.
    3. All employees who select the summer core hours are required to schedule a half-hour lunch period between noon and 1:00 p.m. If, however, an office area has implemented staggered lunch periods to accommodate customers over the traditional noon–1:00 p.m. lunch period, then the required time to schedule the half-hour lunch period may vary.
    4. The summer core hours will be effective Monday, May 12, 2014, through Friday, August 15, 2014.
    5. Operations must be staffed during the hours the department is open to the public or when services are normally provided.
    6. There is no increase in costs to maintain the operations.
    7. There is no increased need for additional staff.
    8. Operations can be efficiently maintained and current levels of service are not adversely affected
  5. Developing Recommendations:
    1. The university business hours for summer will be 8:00 a.m. to noon and 1:00 p.m. to 4:00 p.m. All business and departmental offices are to be staffed by university employees during these hours.
    2. Employees who work in the following areas will not have the opportunity to alter their work schedules:
      1. Pool Maintenance
      2. Dispatcher: automotive garage
      3. Police Department
      4. Cogeneration Plant
      5. TSC: Operations
    3. Appropriate supervisory coverage is required throughout the work shift (does not necessarily require direct, line supervisory coverage).
    4. The workweek will remain 37.5 hours.
    5. The regular work shift will remain at 7.5 consecutive hours. A required lunch period of a half hour is to be scheduled between noon and 1:00 p.m.
