Why use Employee Self-Service (ESS)?

Employee Self-Service provides employees with current payroll and benefits-related information. You can view current and past pay statements (from January 9, 2004, to the present), along with your leave usage and leave balances. You can also view dates of hire, contributions to your retirement plan, and insurance coverages for yourself and your dependents. Emergency contact information, primary contact number, withholding (W-4) information, and ethnicity code can also be updated using ESS.

What is the suggested browser for using ESS?

Internet Explorer versions 7 and below.

When I log into ESS, I get an error that reads, "Sorry, your browser/program is not supported by Web Dynpro!" What should I do?

This typically happens when you try to access your online pay statement. It occurs because of ESS compatibility issues with newer versions of Internet Explorer and Firefox. There is not a workaround for Firefox, but you can resolve the issue for Internet Explorer as follows:

  1. Click on the Page menu drop-down button (toward the right side of the screen).
  2. Choose Compatibility View.
  3. It should then display the main ESS window, where you can access your information.

The State System of Higher Education has provided informaiton regarding this issue on the Overview tab (displayed when you first log in to ESS) under Messages & Announcements. See the item titled New Internet Browser Support.

I have reset my ESS password in URSA and I tried to log in, but I'm still getting the error "User authentication failed."

This can happen if you are saving passwords used on websites. This is not a recommended practice for security reasons. You will need to delete your saved passwords in your browser. Below are the steps to do this in Internet Explorer 8 and Firefox 3.6:

In Internet Explorer 8, from the Tools menu, choose Internet Options. On the General tab under Browsing history, click Delete. Select Passwords on the Delete Browsing History Dialog box, then click Delete.

In Firefox 3.6, from the Tools menu, choose Clear Recent History. Select Everything under Time range to clear. Click Clear Now.

After clearing the saved passwords, reset your ESS password in URSA and try again. If you are still unable to login, it would be best to contact the IT Support Center at 724-357-4000.

How do I access ESS?

Refer to How to Access Employee Self-Service for information on obtaining your initial password, changing your password, and configuring your account.

If you know your username and password, you can log in to ESS at the ESS Portal.

How do I change my password?

You can change your password in two ways:

Option A: If you know your Banner ID and URSA PIN, you can reset your own PASSHE active directory account password by following the steps at How to Reset Your Own PASSHE Active Directory Password.

Option B: You can change your password using the Account Self-Service Portal.

  1. Go to the ESS Portal.
  2. Choose Account Self-Service Portal.
  3. Choose Indiana University.
  4. Choose Change Your Password.
  5. Enter your PASSHE username and your current password.
  6. Click Log On.
  7. Follow the directions on the Account Self-Service: Change Password screen.

What do I do if I forget my PASSHE active directory (AD) account password?

You have two options:

Option A: If you know your Banner ID and your URSA PIN, you can reset your own PASSHE active directory account password by following the steps at How to Reset Your Own PASSHE Active Directory Password.

Option B: If you have configured your account, you may use the Account Self-Service Portal to reset your password:

  1. Go to the ESS Portal..
  2. Choose Account Self-Service Portal.
  3. Choose Indiana University.
  4. Choose Reset Your Account.
  5. Enter your PASSHE username and your PIN.
  6. Click Submit.
  7. Select Reset my password.
  8. Answer the validation questions, and click Submit.
  9. Enter the new password, confirm it, then click Reset Password.
  10. Click Sign Out.

If you have NOT registered at the self-service portal, you must contact the IT Support Center at 724-357-4000.

Whom do I call if I need assistance logging into URSA?

Contact the IUP Office of Human Resources at 724-357-2431.

Do I have to be at work to log on?

No. ESS is a Web-based portal that you can access through the Internet from any location.

Are there computers on campus that I may use if I do not have one at my worksite?

Yes, there are computers on campus that you may use. Please check with your supervisor for their locations.

If my personal information in ESS is incorrect, whom do I contact?

For errors in leave and master data (address, date of birth, etc.), please contact Payroll Services at 724-357-2510.

For errors in benefits information, please contact the Office of Human Resources at 724-357-2431.

If I have trouble logging on, whom do I call?

Will I still be able to access ESS after I leave employment at IUP?

When your employment at IUP ends, you will no longer be able to access ESS. Your final pay statement will be mailed to you through the U.S. Mail to your home address.

My leave balances in ESS are not the same as on my pay statement. Why is this?

Since ESS data is “real time” information, your leave balances in ESS may reflect leave that has been accrued for the next pay cycle.

However, please make sure you are accurately tracking your leave. Major discrepancies in leave balances should be directed to Payroll Services at 724-357-2510.

Can I update my data on line?

Yes, you may update emergency contact information, primary phone number, withholding (W-4) information, and race/ethnicity codes. Additional update features will be added in the future.

How do I log off from ESS?

You can log off by exiting the portal using the “log off” link located in the top right-hand corner of the screen. It is critical that you log off when you have finished using ESS to keep your information secure. It is recommended that you exit the Web browser also.

I get a pop-up blocker message when I try to log off from ESS. What do I do?

You want to temporarily allow pop-ups, then click log off again, then click Yes to confirm.

Can I access ESS from an Apple computer?

Yes, some portal functionality has been proven in the Mac OS X environment if you use the Mozilla Firefox browser. However, certain parts may function in an unfamiliar way or not function at all.
