Roles and Responsibilities

As a graduate coordinator, you are integral to the graduate program(s) within your department and college. You act as a liaison to the SGSR, and it is important that you are current on the policies and procedures that govern graduate education.

Though specific responsibilities and duties may be different from department to department, this site is intended to provide the general overview of your position.

As a graduate coordinator, you will work alongside the department chair and program faculty to manage and organize your graduate program. Tasks often include:

  • Spearheading marketing campaigns;
  • Recruiting students to your program;
  • Coordinating admissions and review processes of applicants;
  • Advising graduate students;
  • Managing program resources;
  • Overseeing graduate program planning and curriculum development, program reviews, and assessments;
  • Coordinating graduate assistantship assignments with your department, students, and the SGSR;
  • Planning and conducting new student orientation sessions;
  • Communicating with chair, program faculty, and graduate students about important deadlines and changes to graduate programming.

Are You a New Graduate Coordinator?

In order to facilitate graduate coordinators’ successful transition to this role, all new graduate coordinators should schedule an orientation as soon as possible after their appointment to the position. These meetings introduce you to core areas of the graduate coordinator’s role: Admissions, Recruiting, Marketing, Research, and Administration. Topical orientation sessions last for half an hour and can be scheduled over multiple days Monday–Friday. Contact Paula Stossel, assistant dean for Administration, at to begin your scheduling.

Graduate and Doctoral Coordinator Meeting Dates

Coordinator meetings are held on Wednesdays. This is an established day that does not change. Coordinators are encouraged to work with their department chairs to adjust their teaching schedules so that they can attend the standing meetings.

Most meetings are held in the HUB, Susquehanna Room. The meeting for all coordinators begins at 11:00 a.m., with the doctoral-only coordinator meeting following immediately at 12:30 p.m. Mark your calendar with a complete listing of dates.
