Create an Event

Add a calendar eventTo make a new event, look above the calendar and hover over the New button, then click “Add Calendar Event.” Or, double-click within the day on the calendar itself. The calendar editing window will now open.

Important: The calendar editing window is somewhat slow to open and close. Don’t be impatient and start clicking again—just wait for the editing window to appear.

Editing a calendar event

There are no Check In or Preview options when editing. To preview an event, click the Save button, and then look at the Events page in Preview mode in your staging Web browser.)

Do not choose the Cancel button when editing an existing event! This will leave the event in a checked-out state. Always Save the event, even if you made no changes. 

Title and Location

Fill out the Event Title and Event Location fields.

As with any CMS folder, no two content items (html, image, etc) in the same folder can have the exact same name. Using the same name in the same folder will result in a (2), (3), etc. being added to the title.

However, calendar items are an exception to this rule. Although numbers will appear after same-named events, these numbers will not appear on the website. They may be safely ignored.

Description

Add a description of the event by placing your cursor into the pale horizontal box located directly under “Description.” The regular formatting toolbar will appear. The event description can be formatted like any regular webpage—photos can be added, text can be bulleted or bolded, headings can be used, and quicklinks can be added. 

Note: What you see as you edit will not appear to be correct: paragraph breaks will not look like paragraphs, but just like another line instead; lists will not look bulleted or numbered; and other differences may show up. But the published event in the web browser will look as you expect it to look.

Do not add an extra space to make it look like multiple paragraphs. Trust that pressing Enter will make a new paragraph. For lists, highlight the text you want as a list and choose the ordered or unordered list icon from the editing toolbar. It won’t look right, but it will work.

Known Issue: Although it is possible to add the Introduction style, it is not currently an option from the Inspector. In fact, the Inspector does not work at all when editing an event. This means that an image’s properties cannot be accessed, either. However, the Web Team can edit the event’s code to make these function. If an image needs to be aligned in a submitted event, please send an ihelp request. Include your unit’s name, the title of the event, and the date of the event.

Tip: If a library window is open, but you cannot figure how to close it—for example, you may have started to create a quicklink, but then changed your mind—the work area window must be made wider. Maximizing the window should allow the right-hand side of the library window to appear, along with the black X in its corner. Click it to close the library window (don't click the red X, which will close the whole desktop and will not save your work!).

Date and Time

You will need to add a start time and end time for the event by clicking the little clocks just to the right of the default times. You can check the All Day box if you do not want the times to appear. Be sure the start and end date(s) of the event are accurate.

If this is a multiday event, you will need to understand how to use the Recurrence tab.

Taxonomy is another word for category. The Taxonomy tab is where you choose which calendars (such as the Central Calendar) on which you want the event to appear, besides your unit’s calendar. You can also choose one or more event types from this tab. Choosing an event type will help site visitors if they are searching for a certain type of event.

Metadata

Clicking the Metadata tab will let you add other types of content, such as a collection or extra content, along with other metadata options.

Saving the Event

When finished, click the Save button at the lower right of the window. This will submit the event for approval.

Note: Click Save just once. The window may appear to shift, and you may be tempted to click Save again, but just wait a moment—the window will reset to show the calendar. 

The full calendar will now display in the work area with the new event. You can also see the event on the Events page in your staging Web browser.

Clicking the Cancel button will take you back to the CMS folder view. But only click Cancel if this is a brand-new event (New > Add Calendar Event).

Do not choose the Cancel button when editing an existing event! This will leave the event in a checked-out state. Always Save the event, even if you made no changes.
